Also try to feather the light if you are getting hotspots or bouncing the light from a wall or object onto your portfolio or add more diffusion between the lights and your subject or turn the flash power down.

To me it seems counter intuitive to have the softbox closer to the subject to get softer shadows but I will definitely try that.
Also was thinking of getting a bigger umbrella, I saw this setup online, and she seems to get much softer shadows and even lighting.
